Temporary Members and Visitors
Policy No: 4 V: 8 11 2025
The purpose of this policy is to ensure that visitors to HHCC playing or associated with the game of croquet, comply with the Club’s obligations to Croquet NSW and Croquet Australia. In particular, that any visitor associated with the sport of croquet is covered by the Club’s insurance policy.
HHCC Constitution:
Cl 17 Visitors: Members shall have the privilege of introducing a friend or friends to the Club for participation in a game of croquet without limitation provided the friend(s) is/are a member(s) of a club affiliated with Croquet New South Wales or another State Association belonging to Croquet Australia. Members may also invite a maximum of three (3) other visitors who are not so affiliated to play up to six (6) times per year. Should a playing member wish to vary these conditions, they must apply to the Committee for permission prior to any attendance.
Current green fees would be applicable for all visitors whether or not affiliated with another club.
The Club through its Constitution is looking to introduce new players to the sport of croquet, develop links to other croquet clubs, promote HHCC as a friendly and enjoyable club, to attract new members, and at the same time protect its assets.
Insurance Coverage: One of the most critical responsibilities the Club has, is to ensure that all Club members and croquet related visitors to the Club are appropriately covered, and that the Club is complying with its insurance policy provided through Croquet Australia vinsurancegroup.com/croquet.
In respect of individuals, the current policy covers Croquet Australia including all registered members, temporary/trialling members, officials, accredited coaches, executives, board members, committee members and voluntary workers. The cover is for Personal Accidents harming the individual, and Public Liability where the individual may be held liable for a negligent act.
Croquet Australia’s Requirements:
A visitor to HHCC associated with the game of croquet, and who is not covered by one of the categories in the paragraph above, only has insurance cover if he/she is a Temporary Member, as determined by Croquet Australia’s Temporary Member policy: www.croquet-australia.com.au/governance/policies-and-procedures.
A Temporary Member is someone who is investigating the sport and is provided with up to 6 opportunities to visit a club and determine if they wish to then join. No individual may participate more than 6 times in a calendar year. After the sixth visit, they must become a full Club member. As well, HHCC Social members and Life Members are required to become Temporary members as they are not registered with CNSW. Life Members will be accorded a fee exemption, effectively being guests of HHCC in recognition of their longstanding contribution to the Club.
Croquet Associated Visitors to HHCC:
Limitations: Each club member may only invite and bring up to 3 named visitors to play croquet at the club during a club year July to June. Each visitor may only attend for up to 6 days during the club year. These restrictions do not apply to members of an affiliated croquet club.
Record Keeping: On arrival, the visitor’s host member must record details in a Temporary Member Registration Form located in the equipment shed or system provided by the club. The record must on each occasion include visitor’s full name, the name of the affiliated club if relevant, the name of the member who invited them on that day, the type of croquet session or social event attended, their phone number, and optionally an email address. A photograph of the completed form should be emailed to Huntershillcroquet@gmail.com ASAP.
Fee and Payment: A fee of $20 must be paid by the Club member hosting the visitor via direct debit within 3 days, to the Club for each visitor, for each day that they visit. The payment is $10 for members of an affiliated croquet club. The member should include their name on the direct debit transfer to assist the Treasurer.
Miscellaneous:
· A visitor may only attend and remain at the club while accompanied by the club member who invited them.
· Visitors shall have access to the player facilities of the club including toilets, storage, kitchen, mallets and other playing equipment.
· Padlock codes and keys must not be shared with visitors.
· Any accidents causing personal harm must immediately be referred to appropriate health or emergency services, and the inviting member shall on that day make an accident record in the book in the croquet equipment shed.
· Consumption of alcohol shall only be permitted in accordance with the club's alcohol policy.
· The club member who invited a visitor shall ensure adherence to this policy by the visitor and shall be accountable to the club's Committee for any breaches.
Record Keeping: Croquet associated visitor attendance will be kept for a minimum of one year and will be reported quarterly to Croquet Australia for audit and insurance purposes. This requirement will be relaxed if the club adopts the Croquet Australia QR code recording system.
Who is Not Regarded as a Croquet Associated Visitor?
Persons not regarded as visitors, and therefore not required to be a Temporary Member for the purpose of this policy are:
· Playing members, all of whom must be registered in the CNSW member database (Revsport)
· Persons attending booked hall-hire events where Public Liability insurance is held by the hirer and a Certificate of Currency of that insurance has been provided to the Club
· Maintenance contractors and Hunters Hill Council staff
· Persons who are on the premises for any purpose other than to play croquet. Such persons would attend the club at their own risk without insurance cover provided by the Club.
Action for Non-Compliance: If an individual exceeds the six-visit limit, they will be informed that they are no longer welcome to continue as visitor to HHCC, and are no longer covered by the Temporary Membership insurance, and will be subject to Public Liability cover only, if the club is found at fault. The hosting member will be advised that they can no longer invite this visitor again, and that the individual should be encouraged to join the Club, in keeping with the intent of the 6 visitations policy.
All club members will be informed of their obligations under this policy, including the requirement for members to oversee the registration of visitors.
Written application may be made to the Committee to vary restrictions for an event involving more than 3 visitors. Events using the courts and clubhouse for games of croquet, organised for groups of visitors, may involve additional fees associated with teaching, socialisation and security. Fees and arrangements will be decided case-by-case by the Committee.
